The Atlanta Science Fiction and Fantasy Expo (ASFE) welcomes all vendors, exhibitors, and artisans (hereinafter referred to collectively as vendors)! The show will be held at Northlake Mall (4800 Briarcliff Rd NE, Atlanta, GA 30345) on March 15 – 16, 2025. The following guidelines are subject to change without notice.
Pricing
The vending fee is a fixed rate of $125 per 6-foot table (two chairs are included) for both days.
A discounted rate of $75 per table is available for vendors who booked a space for the cancelled 2020 show. This discount is not transferable and has no cash value.
Approved vendors will receive an email with the necessary purchase link. All fees must be received on or before March 1, 2025.
Availability
Vendors are welcome to reserve up to four (4) tables. If extra spaces remain at opening on Saturday, March 15, vendors may purchase additional space(s).
ASFE makes no guarantee as to the availability of spaces and reserves the right to limit, expand or otherwise modify vendor space and layouts.
Room Set-Up/Space
Vendor spaces will be set up in Northlake Mall only. Each vendor will be allocated (1) 6-foot table and (2) chairs. Table cloths and/or drapes will not be provided. Move in/early access will be available at 7PM on Friday, 10AM on Saturday, and 11AM on Sunday.
Vendors may not encroach upon adjacent spaces unless given express permission by the spaces occupant.
Power outlets, extra chairs, or other services may be available, but resources are limited. Information concerning how to make requests for these services will be provided at a later date. Vendor area floor plan and space assignments are at the sole discretion of ASFE management and Northlake Mall.
Dedicated Expo personnel will be available during load in and throughout the show to address Vendor questions or concerns. Our goal is to create the best possible Expo experience for everyone. Your efforts to remain courteous and respectful to other vendors, staff, and attendees is greatly appreciated. In the event you encounter a problem, please direct your concerns to designated staff only.
Venue Policies
Only masking/painter’s tape, pins affixed to fabric panels or freestanding vendor-provided displays may be used to enhance vendor areas. The use of staples, nails, tacks or other forms/types of tape is strictly prohibited. Do not place stickers, use paint, or otherwise use materials which may permanently deface venue facades. Signs, banners, and flyers may not be posted outside of your assigned tablespace.
ASFE is a family-oriented event and as such we have determined the open sale of any adult-themed material (including, but not limited to, DVD/Blu-ray discs, VHS tapes, images/artwork, etc.) will not be permitted. Under no circumstances shall adult material be presented for viewing, displayed, sold or otherwise distributed to minors. These materials should not be present at all. ASFE reserves the right to judge the suitability of all displays, products, costumes, and presentations.
Art or other materials created using generative artificial intelligence (AI) must be labeled as such.
The presence and sale of weapons (peace bonded, replica or otherwise; including AirSoft and similar) is also prohibited.
In addition, materials and/or behavior which may be construed as offensive, degrading, or to otherwise malign any group (i.e., merchandise or symbols portraying hate ideology) are prohibited. ASFE reserves the right to inspect and approve all merchandising, displays and clothing. Offenders may be removed from the premises, and all fees forfeited, without notice.
Hours of Operation
All vendors are asked to maintain operating hours from 11 am to 7 pm on Saturday, March 15 and 12 pm to 6 pm on Sunday, March 16. (Note: Times are subject to change based on vendor setup requirements). The mall will close at 7 PM on Saturday and 6 pm on Sunday.
All vendors are REQUIRED to exit the mall 30 minutes after closing. Although not preferable, vendors who choose to leave early are advised not to leave valuables/personal property in the Vendor area. ASFE takes no responsibility for misplaced, stolen or damaged items. Reasonable accommodations to prevent theft, including utilization of mall security and convention staff, will be provided, but it is understood that vendor assumes all risk in leaving any property overnight.
